TERMS AND CONDITIONS

 

1. General Terms

a. The following Terms and Conditions govern all bookings made directly via the motel's website and payments processed through the online payment gateway. These Terms and Conditions may be revised periodically and are subject to change at the sole discretion of the motel without prior notice.

 

2. Bookings

a. Reservations can be made by contacting the motel directly at (02) 4381 1402 or through the online booking system. All bookings are subject to availability and pricing at the time of confirmation.
b. Quotes provided are valid for 24 hours only. Verbal quotes are indicative and will be confirmed in writing upon reservation.
c. All accommodation bookings must be secured with valid credit card details at the time of reservation. The credit card provided must remain valid for the entire stay. Guests are required to present the same credit card used for the booking at check-in.
d. If the booking is made on behalf of another party, prior arrangements for third-party billing must be made directly with the motel.
e. By providing valid credit card details, you confirm your authority to use the card and authorize Copacabana Shores to charge the booking cost, including any applicable cancellation or no-show fees as outlined below.
f. Reservation confirmations will be sent via email. If email is unavailable, the cancellation policy will be explained verbally.
g. A $100 pre-authorization will be charged at check-in to cover incidental expenses or potential damages. This amount will be released upon check-out, provided no additional charges or damages occur.
h. All guests must be registered with the motel, and the number of occupants must not exceed the room's maximum capacity. Visitors are prohibited from staying in rooms after 8:00 PM.

 

3. Fees

a. Payments made via the motel's onsite credit/debit card system are subject to a non-refundable service fee of 1.5%. Payments made with American Express cards will incur a 2.5% service fee.

 

4. Pre-Authorization at Check-In

a. Full payment for accommodation is required at the time of check-in. A $100 pre-authorization will also be processed to cover incidental expenses. This pre-authorized amount will be held by your bank for 5 to 14 business days, affecting your available balance or spending limit. For further details, please consult your bank.
b. The motel is unable to release, reduce, or amend the pre-authorized amount until the final account is settled at departure. Copacabana Shores reserves the right to pre-authorize all credit cards at check-in.

 

5. Pay on Arrival Policy

a. Guests booking certain rates (e.g., Best Flexible Rate) may opt to pay at check-in. A valid credit card is required at the time of booking, but full payment is not due until arrival.
b. Cancellations or changes are permitted until 2:00 PM local time, 3 Working Days prior to arrival. Cancellations or changes made within this period will be charged in full. No-shows will also be charged in full.
c. Cash payments are accepted if accompanied by a signed and pre-authorized credit card.

 

6. Guarantee Policy

a. A valid credit card is required to secure all bookings and must also be presented at check-in, regardless of the payment method.

 

7. Cash Payments

a. Guests paying by cash must settle the full accommodation cost at check-in and provide a signed pre-authorization on a credit card.
b. All guests are required to present a major credit card and valid government-issued photo identification, even if paying by cash. The motel does not accept cheques or foreign currency.

 

8. Identification

a. Guests must present government-issued photographic identification (Federal or State) upon arrival for security purposes. The reservation must be under the name of the individual checking in, who must also present a credit card in their name.

 

9. Check-In and Check-Out

a. Standard check-in time is 2:00 PM, and check-out time is 10:00 AM.
b. Late check-outs may be arranged upon request and are subject to availability. Additional fees may apply for late departures. Guests who fail to vacate their room by the standard check-out time may incur a late check-out fee.

 

10. Early Check-Out

a. The property reserves the right to charge an early departure fee if a guest checks out prior to their confirmed departure date

 

11. Late Arrivals

a. Guests arriving outside of reception hours (after 6:00 PM) are required to contact reception in advance to arrange for late check-in procedures.

 

12. Fees and Charges

a. Access to motel rooms is contingent upon the completion of a signed guest registration form. In compliance with fire regulations, management must be informed of the exact number of occupants in each room. Room rates are based on double occupancy (1-2 persons). An additional surcharge will apply for each additional guest.
b. In the event that unforeseen expenses arise during a guest’s stay, which can be attributed to the guest or their visitors, the registered guest’s credit card will be charged to cover these expenses at a rate determined by Copacabana Shores.

 

13. Connecting Rooms

a. Connecting rooms are available upon request and are subject to availability at the time of booking.

 

14. Child Policy

a. Children of all ages are welcome, provided they behave appropriately. Parents, guardians, or chaperones are legally and personally responsible for supervising children at all times. Children must not be left unattended in guest rooms or allowed to roam the motel premises unsupervised.
b. Children can sleep free using existing bedding within the maximum allowable occupancy for the room. An additional charges per night applies for additional beds, and portable cots.
c. For the purposes of this clause:

  • Child/Children refers to persons aged 2-17 years.
  • Infant refers to persons under 2 years of age.
  • Adult refers to persons aged 18 years or older.

d. Children and infants are not permitted to stay in a room without at least one accompanying adult.

 

15. Unaccompanied Minors

a. All guests under the age of 18 must be accompanied by a parent or legal guardian. The motel reserves the right to decline bookings where the accompanying guardian is unable to provide valid photo identification at check-in.

 

16. Additional Bedding

a. Rollaway beds and portable cots are available upon request, subject to availability on a first-come, first-served basis. Charges can be found out at reception desk.                                                                  b. The maximum capacity for additional bedding is one (1) per room. Rollaway beds are not permitted in Grand King rooms. For safety reasons, pillows are not provided for portable cots.

 

17. Room Keys

a. Room keys codes are issued exclusively to registered guests. Keys codes will not be issued to individuals under 18 years of age.

 

18. Do Not Disturb Policy and Room Access

a. Housekeeping staff may enter guest rooms at scheduled times for cleaning, safety checks, and to verify the condition of the room.
b. Management reserves the right to access a room marked with a "Do Not Disturb" sign for reasonable purposes, such as emergencies, maintenance, ensuring the condition of the room and its contents, or addressing violations of motel policies.
c. Law enforcement officials will be granted immediate access to motel premises and guest rooms in cases involving evicted guests or emergencies.

 

19. Cancellation Policy

a. Bookings may be cancelled without penalty up to 3 Working Days before 2:00 PM on the day of arrival. Cancellations made after this period will incur a cancellation fee equivalent to the tariff for the first night of the booking.
b. Group bookings and special event reservations are exempt from this policy and generally incur a cancellation fee of 50% of the total stay if cancelled.

 

20. No Shows and Failure to Cancel

a. All rates booked at Copacabana Shores are subject to the Cancellation Policy. Guests who fail to check in on their reserved arrival date will be charged according to the terms of the Cancellation Policy for the booked rate.
b. The motel reserves the right to cancel or modify bookings if fraudulent or inappropriate activity is detected, or if reservations appear to result from an error.
c. Guests who choose to shorten their stay or check out early will incur a penalty charge as detailed in the Cancellation Policy for the booked rate.

 

21. Refund Policy

a. Guests who fail to arrive for their booking ("no-shows") will be charged a 100% cancellation fee equivalent to one night’s accommodation.
b. No refunds will be provided for room changes.
c. No refunds will be granted for early departures.
d. No refunds will be issued once check-in has been completed.

 

22. No-Party Policy

a. Copacabana Shores enforces a strict no-party policy to ensure the comfort and quiet enjoyment of all guests.
b. All guests are expected to behave respectfully toward other guests and maintain quiet hours between 10:00 PM and 7:00 AM. Group gatherings or congregations in individual guest rooms are strictly prohibited.
c. Any room or guest identified as hosting a party will be subject to immediate eviction, and the registered guest will be held financially responsible for any additional expenses incurred, including but not limited to cleaning fees, replacement of damaged furniture or fixtures, and repair costs.

 

23. Fees Chargeable to Guest Accounts

a. Smoking inside guest rooms will incur a non-refundable cleaning fee of $400.
b. Incidents involving room degradation (e.g., vomit or other bodily fluids) will result in a $500 cleaning fee, along with professional cleaning charges and a daily room tariff until the room is restored to a saleable condition.
c. Charges for damages, theft, or issues rendering a room uninhabitable will be applied to the guest’s account. In severe cases, criminal charges may also be pursued.

 

24. Damage to Mattress and Bedding

a. Damage to mattresses, linens, towels, or other bedding caused by body oils, makeup, shoe polish, or similar substances will result in charges for special cleaning, repair, or replacement of the affected items.

 

25. Housekeeping and Room Inspections

a. Daily housekeeping services are not provided. Guests are encouraged to reuse towels and linens to support environmental conservation.

 

26. Alcohol Policy

a. The consumption of alcohol is strictly prohibited in public areas such as hallways or the reception area. Guests found providing alcohol to minors will be evicted immediately without a refund.

 

27. Rubbish Disposal

a. Guests are required to dispose of their rubbish in the designated bins. General waste bins (red lid) and recyclable waste bins (yellow lid) are located outside the basement parking area, with additional recycling bins placed at the front of the property.

 

28. Personal Belongings

a. Copacabana Shores assumes no responsibility for lost, stolen, or damaged personal belongings.

 

29. Conduct and Noise Policy

a. Guests are required to conduct themselves in a manner that does not disturb others. Excessive noise, parties, and disruptive behaviour are strictly prohibited. Quiet hours are from 9:00 PM to 7:00 AM. Any violations of this policy may result in immediate termination of the stay without a refund.

 

30. Parking Policy

a. Parking is available for registered guests, with one vehicle per room permitted. Vehicles are parked at the owner’s risk, and Copacabana Shores accepts no liability for damages or losses.
b. Vehicles left on the property after a guest's departure without prior written consent may be towed at the owner’s expense. Vehicle repairs are not permitted on motel premises.

 

31. Pets Policy

a. Except for certified sight and hearing assistance dogs, pets are strictly prohibited inside guest rooms. Violations will result in immediate eviction without a refund, along with a $400 cleaning fee to restore the room to its original condition.

 

32. Cooking Policy

a. Guests are asked to refrain from cooking or heating pungent foods, as Odors can be difficult to remove. Additional cleaning fees may apply for violations of this policy.

 

33. Fire Safety Policy

a. Copacabana Shores is equipped with smoke detectors and fire safety equipment. Emergency evacuation plans and fire safety instructions are provided in the guest information compendium and on the back of room doors. Guests must adhere to fire regulations, including notifying management of the number of occupants in each room.
b. Open flames, including candles, are strictly prohibited. Guests responsible for activating the fire alarm will be charged for any fees incurred from emergency services (e.g., NSW Fire Services).

   

34. Emergency Procedures

a. In the event of an emergency or fire, guests should notify reception immediately. If reception is unattended, please call 000. Emergency exit maps are located on the back of room doors and in the guest information compendium provided in each room.

 

35. Smoking Policy

a. All guest rooms are strictly non-smoking. To maintain a safe and healthy environment, as well as to prevent Odors that are difficult to remove from the air, carpets, walls, curtains, and furniture, smoking of any kind is prohibited. This includes tobacco, marijuana, illegal drugs, e-cigarettes, vape pens, nicotine cartridges, incense, cigars, candles, and the use or diffusion of essential oils or synthetic products within the property.

 

36. Candles, Incense, and Essential Oils

a. The use of candles, incense, and essential oils (including vaporizing and diffusing) is strictly prohibited. Violations will be treated as a breach of the smoking policy, resulting in applicable fines and possible eviction without refund. Penalties will be applied as outlined under "Fees Chargeable to Guest Accounts."

 

37. Infestation

a. Guests are responsible for ensuring that no infestation is brought onto the premises. If an infestation is introduced to the property, the guest may be held liable for all associated costs, including immediate extermination, urgent response requirements, and any loss of room revenue caused by unavailability.

 

38. Lost and Found Policy

a. Copacabana Shores is not liable for lost, misplaced, stolen, or damaged valuables or belongings. If you believe you have left behind an item of value, please contact us immediately at (02) 4381 1402, and we will make every effort to assist in locating the item.

 

39. Found Items

a. Copacabana Shores assumes no responsibility for items left behind. Non-perishable items left behind by guests and recovered by housekeeping will be logged, secured, and held for up to fourteen (14) days for collection by the owner. Perishable items, toiletries, and underwear will be discarded. Reasonable efforts will be made to notify guests of recovered items. Records of lost and found items will be retained for two years.

 

40. Unclaimed Items

a. Items left unclaimed for 14 days will be disposed of or donated to local charities. If the guest's contact information is invalid, or if contact attempts are unsuccessful, Copacabana Shores will not be held responsible for unclaimed items.

 

41. Facilities Disclaimer

a. Guests are encouraged to contact the property directly for specific information regarding facilities essential to their booking decision. Copacabana Shores cannot be held liable for errors, omissions, or temporary/permanent changes to the property’s facilities or services. Images on the website are indicative only and may not reflect the specific room allocated.

 

42. Pool Hours

a. The pool is available for use from 8:00 AM to 8:00 PM. Children must be supervised by an adult at all times.

 

43. Complimentary Wi-Fi Access

a. Guests may connect up to three devices to the complimentary Wi-Fi provided by Copacabana Shores. The property is not responsible for network availability, access issues, external intrusions, viruses, or unauthorized transactions conducted through its Wi-Fi.

 

44. Quiet Hours

a. Quiet hours are from 10:00 PM to 9:00 AM. Guests must keep televisions, voices, and other noise to a minimal and respectful level during these times. Doors should be opened and closed quietly. Congregating, drinking alcohol, or running in the hallways is strictly prohibited.

 

45. Right to Refuse Service

a. Copacabana Shores is privately owned and reserves the right to refuse service or accommodations to anyone for reasons that comply with applicable federal or state laws. The property enforces a zero-tolerance policy and may evict guests without refund for non-payment, intoxication, disorderly behaviour, property damage, exceeding room occupancy limits, or non-compliance with the motel’s policies. Guests are also responsible for damages caused by themselves or their visitors, and costs for repairs, replacements, or extra cleaning will be charged to the guest.

 

46. Relocation Policy

a. In cases where Copacabana Shores cannot provide previously confirmed accommodations, the motel will Endeavor to relocate guests to a comparable property at no additional cost. Guests choosing a higher standard property than the one offered will be responsible for paying the price difference. If relocation is declined, a full refund and booking cancellation may be provided.

 

47. Pricing Errors

a. Copacabana Shores reserves the right to cancel bookings resulting from incorrect pricing or service details being displayed at any time.

 

48. Illness and Epidemics

a. Copacabana Shores reserves the right to refuse entry to guests arriving with contagious illnesses. In cases of illness during a stay, guests must notify reception. For serious illness, guests may be required to seek medical attention at a nearby facility. During epidemics, precautionary measures may be implemented as deemed necessary or as directed by local authorities. Room cleaning fees may apply in such cases.

 

49. Disclaimers

a. By using this website, you agree not to use it for unlawful or prohibited purposes. Copacabana Shores assumes no responsibility for errors, defamatory content, or offensive material posted in public areas of the website. Unlawful content will be reported, and the user’s identity disclosed to authorities when required.

 

50. Limitation of Liability

a. Copacabana Shores and its affiliates are not liable for indirect, consequential, or special damages, including but not limited to loss of revenue, profit, or use, arising from performance or non-performance under these terms and conditions.

 

51. Travel Insurance

a. Guests are strongly encouraged to purchase comprehensive travel insurance covering cancellation, baggage loss or damage, loss of funds, and medical expenses.

 

52. Emergency Procedures

a. Guests should familiarize themselves with emergency exits and fire safety equipment. In case of emergency, please call 000.

 

53. Legal Statement

a. Copacabana Shores maintains strict confidentiality regarding guest information and will not disclose or share such details with third parties without prior consent unless required by law. By signing the guest registration form, you agree to the sharing of your details in cases such as, but not limited to:

  • Failure to settle your account
  • Smoking in rooms
  • Room degradation (e.g., vomit, bodily waste)
  • Property damage or theft
  • Incidents resulting in non-standard cleaning requirements or room unavailability
